POSITION SUMMARY

Provide a wide variety of administrative support for Chief Medical Officer & VP of Medical Management. Composes routine correspondence, compiles data for routine reports, time management, coordinates meeting agendas, assists in developing presentation materials, file maintenance.

Fundamental Components:

  • Provides a wide variety of administrative support

  • Produces a variety of correspondence, compiles data for routine reports, time management, coordinates meeting agendas, takes minutes and assists in developing presentation materials using the appropriate software, file maintenance.

  • Collects, compiles, and analyzes data and prepares various management reports.

  • May participate in or lead special projects.

  • Manager delegate access and involvement in various in various HR activities including; job posting, recruiting, interview process, new hire onboarding, office setup, organization hierarchy, time and attendance, etc.

  • Coordinates travel arrangements and expense report submission.

  • Screens telephone calls, answers routine questions and furnishes information

  • Opens, sorts, distributes, scans, organizes, prioritizes and responds to mail

  • Coordinates calendars; scheduling meetings, room reservations, hospitality arrangements

  • Operates and maintains various office equipment

  • Orders and maintains office supplies

  • Organizes and maintains files of supervisor(s) correspondence, records etc. following up on pending matters

  • Produces a variety of correspondence, reports, and presentations using the appropriate software

BACKGROUND/EXPERIENCE desired:

  • 2-3 years experience as an administrative assistant.

  • Ability to work independently in a fast-paced environment; excellent organizational and communication skills to manage multiple tasks and matters.

  • Strong calendar/time management and follow-up skills; strong problem-solving skills.

  • Exercise confidentiality in all situations.

  • College degree a plus

EDUCATION

The highest level of education desired for candidates in this position is a High School diploma, G.E.D. or equivalent experience.
